Board Meeting Procedures and FAQ's

Business Meeting Procedures and Commonly Asked Questions

One of the best ways to learn what is happening in your county is by attending a Board of Commissioners Business Meeting. During these meetings, the board considers items ranging from budgetary issues, to road issues, to grants and local programs. The Clayton County Board of Commissioners encourages citizens to attend Business Meetings so that they can get to know who their commissioners are and what is going on in the county government.

When are Business Meetings held and are they open to the public?

Business and Zoning Meetings - Pursuant to Ordinance 2009-50, adopted by the Clayton County Board of Commissioners on April 7, 2009, the Board of Commissioners shall hold regular meetings on the first, second, and third Tuesday of each month, at 7:00 p.m. in its Boardroom located at 112 Smith Street, Jonesboro, Georgia, unless postponed to a subsequent date by action taken at a regular meeting. Meetings shall be open to the public. The Board of Commissioners may also hold such additional meetings as shall be necessary. Whenever any regular meeting of the board shall fall on a holiday, the meeting shall be held on the following day. All zoning meetings shall be conducted at night beginning at 7:00 p.m.

PRE-MEETINGS: A pre-meeting of the Board of Commissioners is held at 6:30 p.m. in the Commissioner's Conference Room at 112 Smith Street, Jonesboro, Georgia on the first, second, and third Tuesday of each month prior to the regular meetings of the Board.

ZONING MEETINGS: The Board of Commissioners shall consider zoning matters as part of the Board's Agenda of its regular meeting held on the second Tuesday of each month.

Changes in the scheduling of any of the above meetings or notifications of Special meetings will be posted at least 24 hours in advance.

All meetings and pre-meetings are open to the public except for those occasions involving matters that are specifically exempt by the Georgia Open Meetings Law.

Who determines what is placed on the agenda?

The agenda is prepared by the Clerk. The deadline for getting an item placed on the agenda is close of business on the Wednesday before the next meeting. Anyone wanting to be placed on an upcoming agenda should contact the Clerk at (770) 477-4550 or Assistant Clerk at (770) 477-3210. Anyone placed on the agenda must provide written documentation on the issue by the deadline.

Can a citizen address the Board of Commissioners during a Business Meeting without already being on the official meeting agenda?

The Board welcomes public comment; however to manage available time, public comment will be limited to two minutes per speaker at each regular business meeting and work session. Public comment will come at the end of the regular business meeting but before the executive session. Any member of the public wishing to make comments must sign up with the Clerk prior to the call of the meeting.

Will a citizen's concerns/comments be recorded in the meeting minutes?

Public comment will be noted but not transcribed.
